e-Declarations - simple health policy management

The new feature simplifies the entire process by migrating it to an electronic platform. This reduces the hassle resulting from the circulation of paper contracts and approvals to a minimum. The mechanism allows HR departments to manage employee policies efficiently and quickly even in remote locations.
Management of employees’ medical packages consumes a lot of time in any business. Whereas de-formalizing the process would make all procedures easier, the necessity to get multiple papers signed and approved onot only leads to more paper paperwork, but also prevents the employee from quickly enrolling for medical care.
The process becomes even more complicated when signed documents and approvals have to be collected from various business units, frequently spread across the country. Then there’s employee turnover, changes in medical plans, expansion of coverage to include family members. Each time such an operation takes time and generates costs both for the policyholder and the insured.
E-Declarations solve this problem. As soon as this feature is activated, the HR department enters into the system the list of employees entitled to benefits and the appropriate insurance variant/s. Then, it is sufficient to redirect the employee to their account in the Insured Panel.
“From the account in the Insured Panel, you can choose the scope of insurance you are interested in and adjust its variants to your own needs, as well as extend the insurance with family members/partners. Importantly, when adding more people, you do not need to provide copies of any documents. It is enough to generate a statement confirming the will to take out insurance and accept the amount of premium which will be deducted from the salary,” says Teresa Domańska, Director of the Health Insurance Office of TU Zdrowie.
The e-Declaration mechanism consists of a few simple steps:
• In the Policyholder Panel, the Employer provides a list of persons eligible to enroll for the insurance cover;
• In the created account of the Insured Panel, the enrolling person fills in the e-Declaration for themselves and their family members (if the insurance contract provides for such a solution);
• Through the Panel, the Employee generates a document for the Employer, confirming the Employee’s willingness to enroll for the insurance cover and to insure their family members;
• Already in the Policyholder Panel, the Employer can see the insurance options selected by the Employee, which the Employer then accepts by endorsing the declaration of enrollment. The Employer can also accept other changes to the list of the insured, such as changing insurance options, changing contact details
